CPD Course Terms & Student Responsibilities

Welcome to Beebox Training. These Terms & Conditions set out the rights and responsibilities of individual students and corporate clients when enrolling in our ASIC-aligned CPD programs for repossession agents, credit professionals, process servers, skip tracers, and other compliance roles across Australia. By using our website, our chatbots, or otherwise participating in our training services, you agree to the terms outlined below.

Effective Date: 4 August 2026

1. Who These Terms Apply To

These terms apply to:

  • Subcontracting agents (sole operators) who self-fund their training,
  • Corporate clients and their nominated staff enrolled through a group or agency account,
  • Compliance managers and staff accessing our learning and student management systems.

Some provisions may apply differently depending on your role and how your enrolment was arranged.

2. Our Services

Beebox Training offers self-paced, open-book online courses designed for the credit and collections industry in Australia. Our flagship course — CRAG-MAP™ — supports professionals working in debt collection, repossession, skip tracing, process serving, and related credit operations. We also deliver the National Process Server Training Course (NPST), a course jointly owned by Beebox Training and the Institute of Mercantile Agents (IMA) — see Section 6 for details.

Access to our services includes:

  • The public-facing website at www.beeboxtraining.com,
  • Our Learning Management System (LMS), known as Beebox Classroom,
  • Our student management portal for agency compliance managers (MIA),
  • The AI chatbots described in Section 3 below.

All training materials are provided for compliance and professional development purposes only and are not legal advice. They are based on industry best practices, peer-reviewed content, and publicly available resources.

3. AI Chatbots and Automated Assistance

We use AI-powered chatbots in two places:

  • Website chatbot — available on www.beeboxtraining.com to answer general questions about our courses and the credit and collections industry.
  • Classroom chatbot ("BeeBot") — embedded in Beebox Classroom to assist enrolled students while they work through their course, and to remain available after course completion for questions about real-world, day-to-day scenarios you may encounter in the field.

BeeBot is designed to support your learning under our reference-based (open book) model — helping you understand the training manual, industry concepts, and how they apply in practice. BeeBot is not designed, and must not be used, to answer assessment questions on your behalf. See Section 5 for further detail.

These chatbots do not provide legal advice. Responses are generated automatically and are intended as general guidance only, based on the same training materials, industry publications, and publicly available regulatory content used throughout our courses. They may not reflect the most current law, may not account for your specific circumstances, and may occasionally be inaccurate or incomplete.

You should not rely on chatbot responses as a substitute for professional legal advice, formal compliance advice, or direction from your employer or agency. If you are unsure how a law, regulation, or scenario applies to you, please contact Beebox Training directly, your compliance manager, or a qualified legal or industry professional.

Conversations with either chatbot may be logged and stored. We may use this information to:

  • Review a student's engagement and progress through their course,
  • Improve the accuracy, relevance, and safety of chatbot responses,
  • Investigate misuse or a suspected breach of these Terms.

Chatbot logs are handled in line with our Privacy Policy (see also Section 10, Data Privacy & Security). Please avoid entering another person's personal information, or any information you would not want stored, into either chatbot.

4. Account Setup and Student Information

All students must provide the following to be enrolled:

  • First name and last name,
  • A unique email address (used as the LMS user ID),
  • Their job role (e.g. field agent, credit provider staff, compliance manager),
  • Details of who is funding the training (self-funded or agency-funded).

Accounts are created manually by Beebox Training after receiving information via email, web form, or telephone — either directly from the student or via their agency's compliance team. Without this information, access to training cannot be granted.

5. Course Access, Participation and Completion

  • Course access is granted for the training period only. Students are expected to complete their training within 10 days of enrolment or as directed by their agency.
  • Students renewing their CPD must complete the course before their certificate expiry date to remain compliant with ASIC Regulatory Guide 206 (Table 1).
  • CPD certificates are valid for 12 months.
  • Students may collaborate with peers (e.g. work alongside colleagues), but must complete their own answers and not impersonate another person.
  • All course content is based on a reference-based learning model (also known as "open book"). Students may complete assessment questions using their training manual, BeeBot, and their own professional knowledge and experience, as they see fit.
  • By enrolling, the student warrants that they will answer assessment questions using their own understanding — supported by the training manual and/or BeeBot as reference tools — and will not use BeeBot, or any other AI tool, chatbot, browser extension, or third-party service, to generate or select answers to assessment questions on their behalf. BeeBot is not designed to do this.
  • Course scenarios are fictitious. Misuse, cheating (including the conduct described above), or completing training on behalf of someone else may result in account suspension or revocation of certification.
  • Upon successful completion of the course — achieving a minimum grade of 80% — students will be awarded a digital compliance badge (also known as a course badge). This can be displayed in email signatures, digital resumes, or other professional communications to demonstrate current industry training and CPD status.

6. Use of Materials

Unless stated otherwise, all training materials — including course content, scenario questions, chatbot content, and downloadable resources — are the intellectual property of Beebox Training.

  • Students are encouraged to download and use the course manual as a year-round reference,
  • Materials may not be copied, sold, or distributed for commercial purposes,
  • Publicly available regulatory content (e.g. ASIC guidelines) is used lawfully and credited where appropriate.

CRAG-MAP™ is the name of our flagship annual compliance course. The CRAG-MAP™ name, training manual, and course materials are proprietary to Beebox Training, except to the extent that any content contained within them is drawn from publicly available sources (such as legislation or regulatory guidance), in which case that underlying information remains publicly available and is credited where appropriate.

The National Process Server Training Course (NPST) is a course jointly owned by Beebox Training and the Institute of Mercantile Agents (IMA), developed as a joint venture between the two organisations. The NPST training manual and course materials are jointly proprietary to Beebox Training and the IMA, and may not be copied, sold, or distributed without the consent of both parties.

7. Payment & Refunds

  • Payment is required in full prior to access unless otherwise arranged through a group invoice.
  • Students enrolling individually may pay online via PayPal or Stripe.
  • Group invoices are available for corporate clients. Discounts apply for two or more enrolments from the same agency.
  • Refunds may be granted at Beebox Training's discretion in cases of genuine error.
  • A fair use policy applies to agency-funded students: if a student resigns within 30 days of completing their training, we may hold the fee as a credit for another enrolment (conditions apply).
  • Nothing in this section limits any right you may have under the Australian Consumer Law that cannot lawfully be excluded.

7a. Late Completion Surcharge (Overdue Training Fees)

We reserve the right to apply a handling surcharge for students who allow their annual training to lapse beyond a reasonable timeframe.

  • If your previous Beebox Training certificate has expired and you have not completed your new course within 30 days of the expiry date, a $50 follow-up fee may be added to your standard enrolment cost.
  • If your certificate remains expired after 60 days, a second $50 fee may apply (maximum surcharge of $100).
  • This applies primarily to self-funded subcontracting agents who are individually responsible for managing their training schedule and compliance obligations.
  • Different arrangements may apply to agency-funded staff, depending on prior agreement with the compliance team.

We make considerable effort to follow up with overdue students via email, phone and other reminders. These surcharges help offset the administrative time involved — while also rewarding proactive students who complete training promptly.

8. Publication of Student Records

When a student is enrolled by or on behalf of a mercantile agency:

  • Their name, completion date, grade, and course notes may be shared with that agency,
  • The student's record may appear on the agency's internal training register as well as our master register,
  • A student may request removal from a specific agency's training register by writing to us and including their agency's compliance manager.
  • Certificates may be shared with the agency to assist with audits or compliance management.

9. Limitation of Liability

To the maximum extent permitted by Australian law, Beebox Training provides its courses, website, and chatbots on an "as is" and "as available" basis. While we take care in preparing our training materials and chatbot content, we do not warrant that they are complete, error-free, or suitable for every situation you may encounter in the field.

To the extent permitted by law, Beebox Training is not liable for any loss or damage arising from reliance on course content, chatbot responses, or any other materials provided as part of our services, except where that liability cannot be excluded under the Australian Consumer Law or other applicable legislation. Nothing in these Terms excludes, restricts, or modifies any consumer guarantee, right, or remedy that cannot lawfully be excluded.

10. Data Privacy & Security

All student information, including chatbot conversation logs, is handled in accordance with our Privacy Policy and the Privacy Act 1988 (Cth). We do not sell personal data. Access to student information is granted only to those directly involved in the delivery, assessment, and management of your training. Our systems are hosted securely and supported by Australian and Cambodian-based IT personnel.

11. Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes to our services, including new chatbot features, or changes in law. Where changes are significant, we will take reasonable steps to notify enrolled students or their agency's compliance manager. Continued use of our services after an update constitutes acceptance of the revised Terms.

12. Governing Law

These Terms & Conditions are governed by the laws of Australia. Any disputes arising from your use of our website, chatbots, or services will be subject to Australian jurisdiction.
